Installation

The HubSpot integration is available in SmartNotes for iOS and Android. Follow these steps to connect your HubSpot account.

Prerequisites

  • An active SmartNotes account
  • A HubSpot account (free or paid)
  • HubSpot admin permissions or authorization to install apps

Installation steps

  1. Open SmartNotes Launch the SmartNotes app on your mobile device and sign in to your account.
  2. Go to Integrations Open the side menu (hamburger icon) and select "Integrations".
  3. Select HubSpot In the list of available integrations, tap "HubSpot" then tap "Connect".
  4. Authorize access You will be redirected to the HubSpot login page. Sign in and authorize SmartNotes to access your account.
  5. Confirmation Once authorization is granted, you will be redirected back to SmartNotes. A confirmation message will appear.

Installation successful

Your HubSpot integration is now active! You can start sending your notes to HubSpot.

Configuration

No additional configuration is required after installation. The integration is ready to use out of the box.

Check connection status

To verify that your HubSpot account is connected:

  1. Open the SmartNotes side menu
  2. Select "Integrations"
  3. A green dot next to "HubSpot" indicates the connection is active

Usage

Easily send your notes to HubSpot and link them to your contacts, companies, or deals.

Send a note to HubSpot

  1. Open a note Create a new note or open an existing note in SmartNotes.
  2. Access integrations Tap the link icon in the toolbar at the bottom of the editor.
  3. Expand HubSpot Tap the HubSpot row to display the sending options.
  4. Select the entity type Choose whether you want to link the note to a Contact, Company, or Deal.
  5. Choose the activity type Select Note, Call, or Meeting depending on the type of interaction.
  6. Search and select the entity Use the search to find the target contact, company, or deal.
  7. Send Tap "Send" to create the activity in HubSpot.

Meeting Logs a meeting Meeting notes, decisions made

Send history

Each note keeps a history of sends to HubSpot. You can see:

  • The name of the linked entity
  • The type of activity created
  • The date and time of the send
  • An indicator if the note has been modified since the last send

Multiple sends

You can send the same note to multiple HubSpot entities. Each send creates a separate activity.

Required permissions

SmartNotes requests the minimum permissions necessary to work with HubSpot.

If your HubSpot account does not have access to deals, you can still use the integration with contacts and companies.

Data security

SmartNotes never stores your HubSpot data. Information is only used to display search results and create activities.

Troubleshooting

Common issues

HubSpot connection fails

Make sure you have the necessary permissions in HubSpot to install apps. If you are part of a team, contact your HubSpot administrator.

Search doesn't find my contacts

The search requires at least 2 characters. Try searching by name, email, or company name. Make sure the contact exists in your HubSpot portal.

Sending to HubSpot fails

Several possible reasons:
- Your HubSpot session has expired - disconnect and reconnect the integration
- The target entity was deleted in HubSpot
- Network connection issue - check your internet connection

"Token expired" message

HubSpot access tokens expire automatically. SmartNotes renews them automatically, but if you see this error, disconnect the integration and reconnect it.

Reset the integration

If you encounter persistent issues, you can reset the integration:

  1. Go to Menu → Integrations
  2. Tap HubSpot
  3. Select "Disconnect"
  4. Reconnect the integration by following the installation steps

Can I use the integration with a free HubSpot account?

Yes! The integration works with all versions of HubSpot, including the free CRM.

Are my notes synced automatically?

No, sending to HubSpot is manual. You choose which notes to send and who to link them to.

Can I send the same note to multiple contacts?

Yes, you can send a note to as many entities as you like. Each send creates a separate activity in HubSpot.

Are images in my notes sent?

Currently, only the text of the note is sent to HubSpot. Images and attachments are not included.

How do I uninstall the integration?

Go to Menu → Integrations → HubSpot → Disconnect. This will revoke SmartNotes's access to your HubSpot account.

Who can see the notes I send?

Sent notes follow your HubSpot portal permissions. Team members with access to the relevant entities will be able to see the created activities.
